Being elected the family reunion planner is an honor indeed. It shows that your family members trust your organization skills and good judgment. What a privilege to be passed the torch and act as holder of the family chronicles. Yet as flattering as it this may be the chosen reunion planner also inherits the burden of being sole decision maker and quickly learns that you cannot please everyone. 

Fortunately there is a way to lighten the load while still carrying the torch. Form a family reunion committee. Pass the decision making on to the group. After you've done all you reasonably could to impact the direction you feel the reunion plans should take, let all things fall where they may by vote. 

That aside, the need to form a family reunion committee should not be underestimated. It is essential to the smooth functioning of the reunion and allows key planners to oversee the entire operation without distraction.

A major challenge committees face is to avoid allowing committee member assignments overlap. Therefore when holding your initial committee meetings be certain to pass on written instructions for each department including the various assignments, tasks and materials these will need.

Find a good Family Reunion Planner software package that lists committee member duties and detailed subcommittee assignments instructions. Print and pass out the departmental instruction sheets for review at the initial meeting. 

It's a good idea to have the Family Reunion Planner software up and running on a laptop or two so key planners can record decisions on the forms themselves as they happen. Remember to review the timeline checklist at the meeting and make needed adjustments as you go. 

It is essential to have funds for reunion supplies on hand. Committee members will be clamoring for this soon enough. Many will go into their own pockets expecting to be reimbursed even when a receipt is not forthcoming. Properly funding reunion committees means having your treasurer and committee head approve all requests for funds issued by the subcommittees. In order for this to work the chairman should clearly communicate appropriate protocols both verbally and in writing and review this at committee meetings and in correspondence to subcommittees. 

It's helpful to ask subcommittee heads to spend thrift and avoid making needless purchases with a view to saving funds for those unforeseen occurrences as well as the next reunion. This can often be best accomplished by having a standard supply and materials list for each subcommittee. Insist that each remain in the budget. 

Some reunion committees supply subcommittee heads with their own debit card. The card contains a designated amount of funds according to budget and supply needs. 
When these go over budget they are then asked to have all in their department to go into their pockets. You usually don't have much of a problem with this arrangement.

Another approach is forming a supplies and materials department. This departments primary function would be to provide all needed materials and supplies for each department according to a pre-written supplies list provided by the committee.

Your setup department should include the best of your decorating talent. Those skillful in arts and crafts and individuals. Those with carpentry skills would be very useful with building props and setting up and using sound systems. These same individuals should be involved in dismantling. 

Remember to assign the more creative and delicate hands to table decor and busting tables after the event. Keep in mind that dismantling and sorting out table cloths and napkins is just as tedious and delicate an assignment as setup and decorating. It may be best to use the same help. Some may wish to collect unused party favors for other events or to send to those who could not make it as a courtesy gift.
